5 Steps to Working With The Arts VA

Following on from our recent posts about finding the right administrative support for your business, we explain our step-by-step process from receiving a new enquiry to working with a client.

1. Discovery Call


The first step is a phone call with our founder, Charlie. This is a chance to find out more about each other and work out if The Arts VA and the client will be a good fit.

The potential client will explain what they’re struggling with, the tasks they’re finding too time-consuming and dread/put off doing. Charlie will suggest ways in which we can work together, what hours the client may need and systems they might consider putting in place. This call is free and there’s absolutely no obligation to work with us.


2. Documents

If the client is keen to move forward, Charlie will send through onboarding documents. These forms enable us to gather more details about the client and provide them with The Arts VA’s terms and conditions.


3. Meet Your VA

At The Arts VA, we have a team of multi-skilled VAs who have more than ten years’ of experience working within the arts. Once Charlie has all the information from the new client, she is able to match them with their lead VA based on the tasks and personality.

A call is then arranged so they can meet each other and make sure they are a good fit.

4. Logins and Passwords

If the client is happy to begin working with us, we ask them to share passwords and logins so the lead VA can access the necessary files. We do this securely using online tools such as LastPass, 1password, Dashlane, but we can use whatever method the client prefers and feels most comfortable with.


5. Trial Period


To ensure both the client and lead VA are happy, we usually start with a three month trial period. After this time, Charlie will check in with the client to discuss what is working well and anything we could work on.


Does the client feel their goals are being supported? Is everyone happy with the method of communication? Is the timeframe by which work is completed working for the client? Details of this call are then fed back to the lead VA to ensure everyone is happy moving forward.
