How a VA Can Help You in Meetings

Does your job involve attending lots of meetings? It's not just the meetings that can take up a lot of your time, finding a suitable date, venue and arranging travel can be overwhelming too. Here's how a VA can help.

1. Scheduling

When it comes to booking a meeting, finding a suitable date and time for you and the other people attending can be very time consuming. A VA can save you the back and forth of emails and arrange it for you.

If you’re looking at different time zones, we can find the best time for everyone and set up an online meeting and make sure everyone has access. We can also suggest and research venues for meetings based on your requirements and the locations of the people attending.

There may be times when you are constantly invited to meetings and you worry about clashing schedules, so a VA can manage your diary and respond to invites for you.

2. Travel and accommodation

If you need to travel for your meeting, a VA can research and book your transport and accommodation for you or other people attending your meeting.

This includes looking at travel between meetings if you have multiple appointments in one day, while making sure your schedule involves as little travel as possible.

3. Presentation

We can put together a presentation and/or agenda for a meeting and share with those attending. If you’re not confident or don’t have the time to learn how to use different technology, we can make sure you know how to share documents and presentations during your meeting so you don’t have any tech issues.

4. Minutes

We know that it’s really important to keep an accurate record of what is discussed in meetings so you can keep track of the development of a project. During meetings, we can take minutes/notes - most VAs will do this online but some will be happy to attend in person

5. Emails

If you have a lot of meetings, you may be worried about missing important emails. It can feel overwhelming logging in after a busy day, so we can keep an eye on your inbox for you to make sure you don’t miss anything - organising, labelling and flagging important emails for you so it is easier to tackle.
